MANAGING CREW AND PASSENGERS
This menu allows you to enter details of flight crew, cabin crew and passengers for your flights. If you are an account administrator, you can also set user roles for each person using your account.
- From the main menu, click More and then Crew & Passengers.
IMPORTANT: Basic details for the flight crew must be entered in this section before a flight plan can be filed.
Information on Managing Account Users
When there is more than one user on an account, the master account user acts as the administrator. The administrator sets the user roles for other account users, and can also control the flight log and briefing pack settings for all flight plans.
User roles include ground-based personnel such as dispatchers, who file and manage flight plans, and flight crew members, who need access to briefing packs and weather information. A summary of the permissions granted to each user role is shown in the table below.

The Crew Briefing Only role only allows flights, airport and weather information, and selected briefing pack items to be viewed by a user. Refer to this online article for further details.
Users who make changes to filed flight plans are logged by the software.
If a user changes a draft flight plan that was created by another user, then a copy of the flight plan is made so that the original flight plan is left unchanged.

Adding New Entries
- Click either Crew, Cabin Crew or Passengers to display a screen showing current entries for each category.
- Click New to create a new entry.
The Edit Mode dialog will be displayed. - Add details as required.
You must add a first name and last name before an entry can be saved.
You must also add an email address and password for crew members. They can use these to access their accounts and download flight briefing packs.
IMPORTANT: If the email address you've entered has previously been registered with your supplier, there will be a conflict. Contact technical support to request that the accounts are linked.
Account administrators can add an optional Crew Code to Crew and Cabin Crew users. This can be up to six characters in length and can contain uppercase letters and numbers only. It can be used to quickly select crew members when planning a flight. - Add details of travel documents to assist operations.
- Add a role and any license and qualification details (for pilots and operations staff only).
- Click Save.
- Once saved, click Upload to save a photograph with the entry if desired.
Click Upload New and follow the instructions to upload a new image.
Drag the dashed square to select the required part of the image, and click Save. - Click Save in the Edit Mode dialog.
Editing Entries
Once saved, details for a member of the flight crew, cabin crew or passenger manifest can be edited in several ways:
- Click on More to view all details for a specific entry.
A Preview Mode dialog will be displayed. The details can be amended by clicking Edit which re-opens the Edit Mode dialog. - To quickly edit only the details shown in the table, click Edit alongside an entry.
The fields in the table will become active and can be amended. Click Save when completed.
Searching Entries
- Enter terms in the Search box.
All entries in the table are included in the search.
For crew members, you can filter the search for a specific role using the drop-down menu next to the Search box.
