FLIGHT PLANNING WITH THE WEB APP
There are a number of stages in preparing and filing a flight plan, some mandatory and others optional. They are divided into several steps in the Flight Summary menu.
Step 1 - Route, W&B, Fuel and Crew
This section contains the main flight planning menu in the software.
Calculate and optimise a route
Calculate fuel and W&B (weight and balance) requirements
Note: Once either Saved or Next is clicked in the Step 1 menu, the flight plan is downloaded to the iPad app on devices linked to your account.
Order Services (optional)
Use the Services menu to order fuel and handling services at the departure and destination aerodromes from the Marketplace portal.
When you have completed the ordering of your services, click Next to move to Step 2 and file your flight plan.

Assess Runway Performance
This requires the APG option to be configured for the aircraft used in the flight plan.
- Click Runway Performance to open a new menu in which the current flight rules operating at the departure and destination aerodromes are shown.
- Adjust the various parameters shown and click Preview to generate a report showing the maximum allowable take-off or landing weight that accounts for the specific aircraft, weather, runway, obstacles, etc., of your flight plan.
- Click Save to add this report to your flight briefing pack.
Add Passengers
Add passengers (and cabin crew) to the flight plan from the lists set up in the Crew & Passengers screen, or create new entries in the list.
Complete Aviation Forms (UK GAR, GENDEC, USA APIS)
A number of forms may be mandatory or optional depending on the countries of departure and arrival. These include details of the pilot's travel document and license as previously completed in the account settings, details of the flight's cabin crew and passengers, and information about the aircraft's operator and owner.
Note: Scroll to the bottom of the menu for the GAR and APIS forms to find guidance notes.
- Complete the missing information as highlighted in the software.
Sections completed successfully are indicated with a tick. In cases of difficulty, scroll to the bottom of the menu to read guidance notes on completing the form.
The APIS form requires an estimation of the local time and position where the flight will cross the border of the USA (this is calculated for you by the software), and a list of non-US airports where the aircraft has landed in the previous 24 hours before heading for the USA. - Click Save at any time to preserve the work done on the form.
- When completed, click Preview to view a draft of the document which you can Print using the command in the top left of the screen.
- For GAR and APIS forms, click Send and then Confirm to submit the form to the authorities.
When a GAR is successfully submitted for a UK inbound flight from outside the Common Travel Area, the Universal Permission to Travel status of all passengers and crew is displayed in the software (and also sent to the pilot in command by email). Add Trip Notes
Use this section to add any useful information to the flight plan on hotels, ground transport, customs, etc.
Upload Documents
Use this section to add a PDF document or a PNG, JPG or GIF image file.
- Click Add Docs.
An Open dialog is displayed. - Select a file to be uploaded and click Open.
- Choose whether to attach the file to This Plan, All Plans or Only to my flights using the drop-down list.
- Click Save.
Saving a Completed Flight
A flight plan can be saved as a completed flight and shown as an Historic flight in the list of flights in the All Flights screen.
- Click Save as Completed Flight.
A dialog is displayed. - Enter the Take-off and Landing time and click Save.The flight status will be changed to Historic.
Flight Log / W & B / NOTAM
Use these options to display these documents for your flight, and then click Print to prepare a version that you can print or save to your computer.
Briefing Pack
Select this option to compile the flight briefing pack based on your account settings.
Email/Fax/Download Briefing
Compile a modified briefing pack for distributing or downloading as a zipped file. Select the sections to include from the list displayed and then click Send or Download as appropriate.
Export Route
You can export your flight plan to a number of different devices.
